Basisdata HR tutorial: from sign-up to payday.
Seven short videos showing the real app screens, with captions. Follow them in order or jump straight to the feature you need. The app in the videos is shown in Indonesian; switch any account to English with one click.
Get started in 3 steps
Nothing to install. Basisdata HR runs in the browser on phones and computers (Chrome, Safari, Edge). Captions are on by default — toggle them with the CC button in the player.
Who does what
| Role | Can do |
|---|---|
| Owner / Admin | All company settings, employee data, modules, schedules, payroll, salary advances and the audit log. |
| Manager (direct manager) | Approves leave, overtime and advances (when allowed) for their team and sees team attendance. |
| Employee | Clocks in/out, requests leave, overtime and advances, sees schedule and payslips. |
1. Sign up & first settings
Create your company account, set the clock-in location and choose which modules to use.
Steps in the video
Tip: Don’t know the coordinates? Open Google Maps, right-click your office and copy the numbers — or click “Use my current location” while you are there.
2. Add employees
Enter employee details, their direct manager and clock-in location.
Steps in the video
Tip: The direct manager decides who approves that employee’s leave and overtime. Give managers the “Manager” role.
3. Clock in from a phone
The employee signs in on a phone, replaces the temporary password and clocks in with GPS.
Steps in the video
Tip: Late clock-ins, clock-ins outside the radius and missing clock-outs appear under “Needs action” for the manager.
4. Leave
The employee requests leave; the manager approves from the dashboard or the Leave page.
Steps in the video
Tip: “Sick” and “Unpaid leave” do not reduce the annual balance. Unpaid leave is deducted from pay automatically in payroll.
5. Shifts & overtime
Create shift patterns, fill in the weekly schedule; employees request overtime and managers approve it.
Steps in the video
Tip: Use “Copy last week” so you don’t start from scratch every week. Overtime multipliers are set in Payroll → Payroll settings.
6. Salary advances (kasbon)
Set the rules; the employee requests, the admin approves and pays out. Installments are deducted from salary automatically.
Steps in the video
Tip: Cap advance deductions per month (e.g. 30% of net pay) so employees keep enough salary; the rest rolls over to next month.
7. Payroll & payslips
Set pay profiles once, calculate monthly payroll, review the details, then approve and lock. Employees get their payslip on their phone.
Steps in the video
Tip: With two admins, one calculates and the other approves. The CSV export lists names, accounts and net pay for bank transfers.
Frequently asked questions
Do employees need to install an app?
No. They just open www.basisdata.net/app in their phone browser. You can add it to the home screen so it feels like an app.
What if GPS is blocked or outside the radius?
The clock-in is still saved but flagged “Needs review” so the manager can check it. Make sure location access is allowed in the browser.
An employee forgot their password?
They can use “Forgot password?” on the sign-in page (if their email is active), or an admin resets it under Employees → Edit.
Can payroll figures be changed after calculation?
Yes, while the period is not locked: add an adjustment and recalculate. Once locked, the period cannot change and is recorded in the audit log.
Are PPh 21 and BPJS calculated automatically?
Yes, when enabled under Payroll → Payroll settings. The formulas are explained in the PPh 21 & BPJS guide (Indonesian).
